Study Archival
Can you upload new person or organization profile documents to a study after it’s archived? If so, how would this be done since you cannot add a person or org to the study?
No, this is not allowed. Options include uploading the file as a different (non-profile) document type or contacting Veeva Support for help.
How much does it cost to archive a study for 25 years (EU-CTR requirement)?
It doesn’t cost anything to archive it.
Can a study be re-archived or changed back to active?
Once a study is archived it cannot be returned
Is there a clear cut way to tell which studies are truly archived (gone through the process) vs just studies that are currently listed as archived in our vault?
You can create a report to pull all archive note to files. If you need assistance with this, you can reach out to Site Success.
Workflow related questions
What happens at the end of the retention period and can you change the retention period?
You can request a change of retention period through Support.
Is the user access report able to tell me when a staff accessed SiteVault and when they logged out?
No, the report does not track login activity.
Does the access email go out to monitors on the start date of their access or does the email go out immediately upon being added? What information does the email include?
The email will go to monitors when they are activated on a study. The email will include notification of access granted to study with study name, research organization, and research site. It will also include access end date, as applicable, and the sponsor site ID and study ID. If you’re using start date (scheduled access), then they get the email when they’re automatically activated on the start date.
